The client experience begins the moment someone books you—not the moment you pick up your camera. A thoughtful onboarding process sets clear expectations, builds excitement, and eliminates the anxiety that causes clients to micromanage photographers on the day of the shoot.
Step 1: The Booking Confirmation
Within minutes of a booking, send a warm confirmation email that includes: a personalized welcome message, a summary of what was booked (date, time, location, services), a link to your contract for e-signature, the invoice with retainer payment instructions, and clear next steps. An automated welcome sequence from your CRM handles this instantly regardless of when clients book.
Step 2: The Client Questionnaire
A pre-shoot questionnaire collects information that personalizes the shoot and prevents misunderstandings. Ask about: specific shots required, family member names (for weddings/portraits), any physical limitations to be aware of, the mood or feeling they want the images to convey, and how they heard about you. Clients who fill out a thoughtful questionnaire feel heard before they ever meet you in person.

Step 6: Gallery Delivery and Review Request
Deliver the gallery before the promised date if at all possible—exceeding expectations is the most reliable way to generate enthusiastic reviews. Include a personal note about one or two of your favorite images from the session. Within 48 hours of delivery, send a follow-up email asking for a Google or Yelp review with a direct link.
