How to Brief an Event Photographer

Why a Thorough Brief Matters

Even the most talented photographer can only work with the information they have. An event photographer walking into your event without a brief will capture what they see. A photographer who's read your detailed brief will capture what you need. The quality of your brief directly determines the quality of your gallery.

The Photographer Brief: What to Include

Event Basics

• Event name, type, and purpose
• Date, start time, end time
• Venue name, full address, parking and entry instructions
• Expected guest count
• Your contact number for day-of questions

People and Priorities

• VIP list with names and roles (the CEO, the award recipient, the family of honor)
• Anyone who must appear prominently in the gallery
• Anyone who should not be photographed
• Dress code (so photographer can blend in appropriately)

Schedule and Key Moments

• Full event schedule with timing
• Top 5 must-capture moments in priority order
• Any elements that are off-limits or confidential
• Any specific technical requirements (silent shooting, no flash)

Style and Deliverables

• Reference photos showing the style you're looking for
• Editing style preference (bright and airy, natural, moody, professional)
• Intended uses for the images (social, press, internal, website)
• Number of images needed and turnaround timeline

Sharing Your Brief

Send your brief as a document 5–7 days before the event. Follow up with a phone call or message 1–2 days before to confirm receipt, discuss any schedule changes, and answer questions. A 15-minute pre-event call is worth its weight in great images.
