Why a Contract Matters for Headshot Sessions

Even for a relatively simple individual headshot photography session, a written agreement prevents misunderstandings about deliverables, timing, payment, and usage rights. For corporate headshot days involving larger investment and more complex logistics, a thorough contract is essential.

Most professional photographers provide a standard contract. Review it carefully before signing — understanding what you're agreeing to protects you and ensures expectations are aligned from the start.

Essential Contract Clauses

Session details: Date, time, location, duration, and any specific setup or equipment requirements. Ensure everything discussed verbally is in writing.

Deliverables: Exact number of edited final images, file formats, resolution specifications, and delivery method. "A set of edited images" is insufficient — specify the number.

Turnaround time: The number of business days from shoot date to delivery of final edited images. Include what happens if the photographer misses this deadline.

Payment terms: Total fee, deposit amount and timing, balance payment due date, and payment methods accepted. Most photographers require a 25–50% deposit to secure the booking.

Usage/licensing rights: What you are licensed to do with the images. Standard professional headshot licensing should include: personal professional use (LinkedIn, website, email signature, business cards), corporate use (company website, marketing materials), and press/media use. Confirm there are no restrictions that would limit your intended uses.

Cancellation and Rescheduling Policy

Understand the terms if you need to cancel or reschedule. Most photographers have a policy specifying: how much notice is required for full or partial deposit refund; rescheduling fees (if any); and what happens if the photographer cancels (typically a full refund, sometimes a voucher for a future session). These terms should be clearly stated.

Red Flags in Photography Contracts

• No specific number of deliverables — "images as selected" is too vague
• Unrestricted photographer rights to use your images in any marketing without your specific consent
• No delivery timeline specified
• Cancellation terms that forfeit the entire payment for any cancellation, no matter how far in advance
